If you are not sure who your property or facilities manager is, please contact helpdesk@phpgroup.co.uk and we will share your query with the right person.

The schedule of your rent payments will be set out in your lease, but it will typically be a quarterly payment in advance.

We aim to issue invoices for rent and any service charges due six weeks ahead of the payment date to enable our GP customers to obtain their NHS reimbursement. Rent and service charge payments are due in accordance with the terms of your lease and must be received on or before the due date. Overdue payments can lead to interest being charged.

Don’t forget:

  • A service charge is billed if you require additional building maintenance services under the terms of your lease.

  • VAT is payable on all rent, service charges, insurance, and other costs charged by us.

If you have any questions or need any further information about your rent or service charges, please speak to your Property Manager.

PHP Group has insurance policies that cover all our buildings for major external incidents such as flood, fire or acts of terrorism.

You are responsible for arranging your own contents insurance policy. You may also need to arrange additional cover for services such as lifts, where applicable, depending on the terms of your lease.

If you are unsure about the insurance you need or you think you need to report an incident that will involve making an insurance claim please speak to your property manager.

Your property manager will be happy to give advice on health and safety issues that relate to your building but it’s important to remember that, as an employer, the health and safety of your staff and visitors is your legal responsibility.

As part of your lease, you must comply with the Premises Acts, which include:

  • The Fire Precautions Act 1971 (as amended)

  • The Health and Safety at Work Act 1974

  • Occupiers’ Liability Act 1984

  • The Regulatory Reform (Fire Safety) Order 2005

We want to work with you to make sure you have the building you need to meet the needs of your patients and your team. We can help you to identify what you need, the options are for improving, extending, and updating your building and the capital and revenue streams you may be able to access.
